New Employee Technology Checklist

New employees in the Division of Student Affairs require certain provisions in order to connect to technology in the Division of Student Affairs. This is a check list of items that need to be processed for each new employee.

Checkbox NetID NetID

  • University account that is fundamental to using many campus technology systems
  • Created automatically upon the hiring of most new employees
  • Some employees do not automatically have a NetID created
  • Can be created when an authorizer of the requesting department submits a Netid request form
  • This form should be faxed to (6-6818) or hand-delivered to SAIT (McMahon mezzanine)***
  • SAIT will process the request and contact the authorized requestor when the account is ready to use

Checkbox Student Affairs Domain User Accounts Student Affairs Domain User Accounts

Domain accounts are necessary for logging on to any Division computer. They are not automatically created as part of the hiring process. Domain user accounts are created when an authorized employee of the requesting department sends a request to SAIT; the request should include:

  • name of the employee
  • NetID
  • job title

SAIT will process the request and contact the authorized requestor when the account is ready to use.

The login name for any user is the netid. A default password is set for each user account. At initial login the user will be prompted to change the password. Passwords should be complex and secure using the following:

YOUR PASSWORD MUST CONTAIN:
  • At least 8 characters long (Spaces do not count)
  • Contain three of four special character classes (Uppercase, Lowercase, Numbers, Punctuation)
  • Can not contain your initials
  • Can not contain any three character sequence from your first or last name/username

Checkbox Tour of the Network Tour of the Network

Each user is given a tour of the network. Depending on the level of involvement any user will have, access to the folders and drives is contingent on their role. Each user is provided with personal network space where all documents are stored by default. No user is allowed to save anything to the local hard drive. This allows for all documents to be backed up nightly

Checkbox Outlook - Exchange Email Outlook - Exchange Email

A mailbox is created automatically as part of the employee hiring process; this is done in conjunction with NetID creation. Some employees do not automatically have an Exchange mailbox created. An Exchange mailbox for these employees can be created when an authorized employee of the requesting department submits a request to SAIT. The form for requesting a NetID is also used to request the creation of an Exchange mailbox. SAIT will process the request and contact the authorized requestor when the mailbox is ready to use.

Checkbox Authorizers Authorizers

Any user in the division can request assistance with technical issues. However there are certain functions that only a person designated as “authorizer” can request. These items include:

  • User accounts
  • Access to drive, folders, calendar or mailbox
  • Equipment replacement or purchases
  • Software installation or upgrades
  • Data and phone port installation or activiation
